Synapse Fusion AI Value Briefing

Synapse Fusion · Supply chain and logistics

Fewer hours in the inbox, faster answers to customers.

Distributors, freight forwarders, 3PLs and procurement teams move goods on the back of documents and messages: carrier emails, invoices, customs papers and supplier files. AI can read, sort, extract and draft much of that flow, so your teams spend more time solving exceptions and serving customers. People check the output and make the decisions.

Where the time goes

Where the hours go today

In many logistics and procurement teams, the work that slows things down is not moving goods but handling the information around them.

Inboxes full of carrier emails

Status updates, delays and booking changes arrive as free text from many carriers and agents, and someone has to read each one.

Exceptions handled by hand

A late container or a damaged pallet means calls, emails and customer updates, often rebuilt from scratch each time.

Customs and trade documents

Commercial invoices, packing lists and certificates have to be checked against each other and against the rules that apply to the goods.

Supplier onboarding

Collecting company details, certificates and compliance declarations from new suppliers can take weeks of follow-up.

What AI can take on

Six places to start.

In every case, AI prepares and a person checks and decides. The value comes from your people knowing where to use it, and measuring what it gives back.

Customer serviceDrafting replies to shipment questions

TodayAgents look up each shipment in several systems and type a reply to every customer email.

With AIAI can read the question, pull the latest status from the information your team provides and draft a clear reply. The agent checks it and sends.

Faster answers to customers and fewer repetitive emails per agent.

OperationsSorting carrier emails and flagging exceptions

TodayPlanners read every carrier message to find the few that need action.

With AIAI can classify incoming messages, extract the key facts such as new arrival times, and flag likely exceptions for a planner to review.

Problems spotted sooner and less time spent reading routine updates.

Customs and trade complianceChecking trade documents for consistency

TodayStaff compare invoices, packing lists and certificates line by line before a declaration is prepared.

With AIAI can extract quantities, values, weights and descriptions and list mismatches between documents. Your customs specialists decide on classification and sign the declaration.

Fewer errors caught late and less manual cross-checking.

ProcurementSupplier onboarding files

TodayBuyers chase new suppliers for documents and check each one by hand.

With AIAI can draft request emails, extract data from returned documents and list what is missing or expired. The buyer reviews and approves the supplier.

Suppliers ready to trade sooner, with fewer gaps in their files.

FinanceChecking freight invoices against agreed rates

TodayFinance teams compare carrier invoices with contracts and rate sheets one line at a time.

With AIAI can extract invoice lines, compare them with your rate tables in a spreadsheet and flag differences for a person to query.

Overcharges found more often and invoices processed with less effort.

LeadershipWeekly performance and exception reports

TodayManagers build the weekly report from several exports and write the commentary themselves.

With AIAI can analyse the spreadsheets, summarise on-time performance and recurring exceptions, and draft the commentary. The manager checks the figures and adds the judgement.

Reports ready sooner and more time to act on what they show.

Rules that apply

Safe use, built in from the start

Logistics data touches customers, partners and customs authorities, so the rules for AI are agreed before anything starts.

  • People sign the declarations. AI can prepare and check documents, but tariff classification, origin, valuation and any declaration to customs stay with qualified staff or your customs broker. Where your goods are covered by the EU Carbon Border Adjustment Mechanism, which applies in its definitive regime from 1 January 2026 to imports such as steel, aluminium, cement and fertilisers, the same applies to CBAM declarations.
  • Customer and partner data. Shipment, pricing and contact data stay inside tools your IT team has approved, and personal data is handled under data protection law such as the GDPR.
  • Check before it goes out. AI can misread a figure or a date. A person checks every message to a customer, carrier or authority before it is sent.

A sensible start

Small, measured, owned by your people.

  1. 1

Pick one busy inbox or desk

Start with a team that handles a high volume of similar emails or documents, such as customer service or carrier follow-up.

  2. 2

    Agree what to measure

Record how long the work takes today, for example time per enquiry or per invoice, so the time given back can be counted.

  3. 3

Train people on their real work

Teams learn to use the AI they already have on their own emails and documents, with clear rules on what must be checked.

Questions

What people in supply chain and logistics ask first.

Can AI fill in our customs declarations?

AI can extract data and check documents for consistency, which saves time. Classification, valuation and signing the declaration stay with your customs specialists or broker.

Do we need a new system to start?

Usually not. Many teams start with the AI assistant already included in the office tools they pay for, working on the emails, spreadsheets and documents they already have.

Is it safe to put carrier and customer data into AI?

It can be, when your IT team approves the tools and data rules first. Enterprise AI tools often keep data within agreed boundaries; public consumer tools are not the place for customer data.
