Synapse Fusion AI Value Briefing

Synapse Fusion · Automotive

Less time on paperwork, more time on the product.

Vehicle makers, suppliers and dealer groups run on documents: quality records, warranty claims, supplier files, technical manuals and a growing set of cyber and software rules. AI can draft, sort, search and summarise much of that work, so engineers, quality teams and service staff spend more of their day on the vehicle and the customer. Your people check every result and make every decision.

Where the time goes

Where the hours go today

In many automotive organisations, skilled people spend a large share of their week reading, copying and reformatting information rather than solving problems.

Quality and warranty files

Complaints, 8D reports and warranty claims arrive in many formats and languages. Reading them, finding patterns and writing responses can take days per case.

Supplier documentation

Approval packages, certificates and customer-specific requirements have to be collected, checked and kept current across hundreds of suppliers.

New cyber and software rules

Type approval now asks for documented cyber security and software update management, which adds evidence to prepare and keep up to date.

Dealer and after-sales questions

Service staff search long bulletins and manuals for answers, and customers wait while they do.

What AI can take on

Six places to start.

In every case, AI prepares and a person checks and decides. The value comes from your people knowing where to use it, and measuring what it gives back.

QualityFirst drafts of complaint and 8D responses

TodayQuality engineers read each complaint, gather data from several systems and write the response by hand.

With AIAI can summarise the complaint, pull the relevant facts from attached reports and draft the response structure. The engineer checks the root cause and signs off.

Faster responses to customers and more engineer time for the actual investigation.

Warranty and after-salesSorting and summarising warranty claims

TodayClaims and technician notes are read one by one to spot repeat failures and missing information.

With AIAI can classify claims, flag missing documents and group similar failure descriptions so the team sees patterns sooner. People decide on every claim.

Earlier sight of recurring issues and fewer claims sent back for missing details.

Purchasing and supplier qualityChecking supplier documents

TodayBuyers and supplier quality engineers chase and check certificates, approval packages and declarations by hand.

With AIAI can extract key data from supplier documents, compare it with your requirements and list what is missing or out of date. Your team reviews the list and contacts the supplier.

Less chasing, fewer gaps found late, and a clearer view of supplier status.

Compliance and engineeringKeeping cyber and software evidence in order

TodayEvidence for cyber security and software update management is spread across documents, tickets and spreadsheets.

With AIAI can search and summarise existing records, map them to the relevant requirements and draft evidence summaries. Your specialists confirm every statement before it goes to an auditor or authority.

Less time assembling audit material and quicker answers when an assessor asks.

Dealer network and serviceAnswering service questions from manuals

TodayService advisers and technicians search long bulletins and manuals, often in another language.

With AIAn AI assistant can answer staff questions from your approved manuals and bulletins, citing the page it used and translating where needed. Staff follow the official procedure.

Shorter waits for customers and faster, more consistent answers at the counter.

LeadershipMonthly quality and warranty review packs

TodayAnalysts spend days pulling figures and writing commentary for the management review.

With AIAI can analyse the spreadsheets, highlight trends and draft the commentary. The analyst checks the numbers and adds the judgement.

Review packs ready sooner, with more time spent on decisions than on formatting.

Rules that apply

Safe use, built in from the start

Automotive work carries safety, approval and intellectual property duties, so the rules for AI are agreed before anything starts.

  • People own safety and approval decisions. AI can prepare drafts and summaries, but decisions on product safety, root cause, type approval evidence and warranty outcomes stay with qualified people.
  • Quality system and regulatory fit. Work done with AI should fit your quality management system under IATF 16949, which builds on ISO 9001, and the cyber security and software update rules of UN Regulations 155 and 156. In the EU, cyber security requirements apply to all new vehicles since 7 July 2024.
  • Confidential engineering and personal data. Drawings, supplier data and customer records stay inside tools your IT team has approved, and personal data of customers and staff is handled under data protection law such as the GDPR.

A sensible start

Small, measured, owned by your people.

  1. 1

    Pick one document-heavy team

Start where people spend many hours on reading and writing, such as quality, warranty or supplier quality.

  2. 2

    Agree what to measure

Record how long the work takes today so the time given back can be counted, not guessed.

  3. 3

Train people on their real work

Teams learn to use the AI they already have on their own complaints, claims and documents, with clear rules on checking.

Questions

What people in automotive ask first.

Can we use AI with confidential engineering and supplier data?

Yes, when the tools and data rules are agreed with your IT and security teams first. Many organisations start with enterprise AI tools they already license, which can keep data within agreed boundaries.

Will AI make decisions on warranty claims or root causes?

No. AI can sort, summarise and draft, which saves time. Your engineers and warranty staff check the facts and make every decision.

Does this fit with IATF 16949 and our audits?

It can. AI is used to prepare and organise records, while your quality system, approvals and sign-offs stay as they are. Changes to controlled processes go through your normal quality procedures.
